This page explains what personal data we collect through this website, why, how long we keep it, and what you can ask of us. It is written to be understood, not to cover us.

What we collect and why

When you write to us or fill in a contact form

Your name, email address and message. We use them to reply to you. The legal basis is our legitimate interest in answering a request you have addressed to us.

When you sign up as an EU ambassador

Your name, contact details, town and what you would like to do. We use them to send you the guide, the materials and information about activities. The legal basis is your consent, which you can withdraw at any time.

When you send us a citizen proposal

Your name, email address, the topic and the text of the proposal. The proposal may be published on the site without your name and without your address, and only if you tick the separate consent box for publication. The legal basis is consent.

When you subscribe to the newsletter

Your email address. We use it solely to send the weekly newsletter. We confirm the subscription by email, and the unsubscribe link appears in every edition. The legal basis is consent.

When you visit the website

We use Matomo, an analytics tool installed on our own server. The data does not reach any third-party company and does not leave our infrastructure. Your IP address is anonymised before it is stored, and the browser’s “Do Not Track” setting is respected. Details on the Cookie policy page (in Romanian).

Who we share the data with

We do not sell or rent personal data to anyone. We use two providers that process data on our behalf: the website hosting provider and the email sending platform, both with servers in the European Union and contractually bound to process the data only on our instructions. Traffic statistics are not outsourced — they run on our own server.

The data is not transferred outside the European Union and the European Economic Area.

How long we keep it

  • Messages received through the contact form: 2 years from the last correspondence.
  • Ambassadors’ data: for as long as you wish to be part of the network, plus 1 year.
  • Citizen proposals: identifying data 2 years; the published text, anonymised, stays on the site.
  • Newsletter email addresses: until you unsubscribe.
  • Traffic statistics: 14 months, in anonymised form.

What you can ask of us

You have the right to know what data we hold about you, to ask for it to be corrected or erased, to restrict processing, to data portability, and to object to processing. You may withdraw your consent at any time, without affecting the lawfulness of processing carried out beforehand.

If you are not satisfied with our answer, you have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) — B-dul General Gheorghe Magheru nr. 28-30, sector 1, Bucharest, dataprotection.ro.

Children

The website is aimed at the general public. We do not knowingly collect data from children under 16 without a parent’s consent. If we find that we have received such data, we delete it.

Changes

If we change anything important in this policy, we update the page and record the date. Last updated: September 2026.
